‍1. TUITION & PAYMENT
‍Tuition is due on the 1st of each month. A grace period is provided through the 5th of the month.

Private lessons are $149 per month for weekly 30-minute sessions at our location, $224 per month for weekly 45-minute lessons, and $299 per month for weekly 60-minute sessions. A one-time $25 registration fee is due at the time of registration.

All lesson tuition payments must be made electronically using an Academy-approved electronic payment method. Cash and checks are not accepted for lesson tuition payments. Families are responsible for maintaining a valid payment method and ensuring that payment can be successfully processed when tuition is due.

All tuition must be paid no later than the 5th of each month. A $10 late fee will be assessed to accounts with tuition remaining unpaid after the 5th. If payment has not been received by the end of the grace period, lesson services will be suspended beginning on the 6th until the account, including any applicable late fee, is brought current.

Lessons missed because an account has been suspended for nonpayment are considered forfeited lessons and are not eligible for make-up credits, refunds, or tuition adjustments.

Payment after the 5th does not restore or provide make-up credits for lessons missed while the account was past due.

Tuition is never prorated for missed lessons and does not include retail teaching materials such as books, instruments, accessories, or other supplies.

2. CANCELLATIONS & MAKE-UP CREDITS
If a lesson is canceled by the instructor and a substitute instructor is not available, the student will receive a make-up credit for a one-on-one lesson.

Students must cancel a lesson at least twelve (12) hours before the scheduled start time to be eligible for a make-up credit.

All student cancellations must be submitted through the My Music Staff Portal. A cancellation is considered official only when it has been submitted through the portal. Phone calls, text messages, emails, or verbal notice to an instructor or Academy staff member do not constitute an official cancellation. Lessons not properly canceled through the My Music Staff Portal will be treated as a no-call/no-show, regardless of whether notice was provided through another method, and the lesson will be forfeited without a make-up credit.

Lessons properly canceled through the My Music Staff Portal less than twelve (12) hours before the scheduled start time will be marked as an absence and forfeited. No make-up credit will be issued for late cancellations, no-call/no-shows, or missed lessons.

‍Students may receive a maximum of six (6) make-up credits resulting from student cancellations per calendar quarter. For purposes of this policy, the quarters are January–March, April–June, July–September, and October–December.

Make-up credits issued because Rhythm & Grooves Music Academy or an instructor cancels a lesson do not count toward the student’s four-credit quarterly limit.

All make-up credits expire 60 days from the date they are issued. Expired credits cannot be reinstated, refunded, transferred, or applied toward future tuition.

Make-up credits are provided as a scheduling courtesy and have no cash value. They may not be exchanged for refunds, deducted from monthly tuition, transferred to another student or family, or used to extend enrollment after withdrawal.

Make-up lessons are subject to instructor and Academy availability. The issuance of a make-up credit does not guarantee a particular instructor, day, time, or lesson format.

3. DISCONTINUING LESSONS
All students are enrolled on a month-to-month basis.

To discontinue lessons and stop future billing, a completed Withdrawal Request form must be submitted by the 15th of the student’s final month of lessons.

If a Withdrawal Request is submitted after the 15th, the following month will become the student’s final month of enrollment, and full tuition for that month will remain due.

Tuition is not prorated for the final month, and students are responsible for the full month’s tuition regardless of attendance.

Upon submission of a Withdrawal Request, any unused make-up credits may be scheduled and redeemed through the end of the student's final month of enrollment. All remaining make-up credits will expire at the end of the final month and will be forfeited. Make-up credits have no cash value, cannot be refunded or transferred, and cannot be applied toward final-month tuition or any outstanding account balance. Make-up lessons remain subject to instructor and Academy availability.

Submitting a Withdrawal Request does not cancel or waive tuition or other charges that have already become due under these policies.

4. AVERAGE OF FOUR LESSONS PER MONTH
Monthly tuition is based on a 48-week instructional year.

Rhythm & Grooves Music Academy is closed for four weeks annually for scheduled holidays and breaks, with these closures distributed throughout the year.

Depending on the calendar, a student may receive five lessons in some months and three lessons in others. Most months will include four scheduled lessons.

Monthly tuition remains the same regardless of the number of scheduled lessons in a particular month. There is no additional charge for months containing five lessons and no discount or prorating for months containing three lessons.

This tuition structure allows us to maintain consistent monthly billing while providing 48 scheduled instructional weeks throughout the year.

5. SUMMER VACATION & EXTENDED ABSENCES
Rhythm & Grooves Music Academy operates year-round and does not close for the summer.

Enrollment and lesson times remain active throughout the summer. If a student plans to take time away for vacation but wishes to retain their regular lesson day and time, regular monthly tuition remains due.

When appropriate and available, students may have the option to participate in live virtual lessons, pre-recorded instructional lessons, or other Academy-approved make-up opportunities.

Make-up credits and make-up opportunities remain subject to the limitations and expiration requirements described in Section 2.

Rhythm & Grooves Music Academy does not freeze, pause, or hold enrollment without payment. A student's recurring lesson time can only be reserved while the student remains actively enrolled and tuition remains current.

Families who do not wish to continue lessons during the summer must follow the withdrawal procedure described in Section 3.

Students who withdraw and later return must complete the registration process again. Previous instructors, lesson days, and lesson times cannot be guaranteed and will be subject to availability at the time of re-enrollment.

6. CARE OF STUDENTS
Rhythm & Grooves Music Academy does not provide before- or after-care for students.

Parents or guardians of children under the age of eight (8) must remain on the premises during their child's lesson.

Students should not be dropped off significantly before their scheduled lesson or left at the Academy for an extended period following their lesson. Parents and guardians are responsible for arranging timely transportation and supervision before and after scheduled instruction.

7. OPEN DOOR POLICY‍
Parents and legal guardians are welcome to observe their student's lessons.

Rhythm & Grooves Music Academy maintains an open-door policy for instruction.

The Academy reserves the right to establish reasonable expectations for lesson observation when necessary to prevent disruption to the student, instructor, or educational environment.

8. INJURIES & PERSONAL PROPERTY
Parents, legal guardians of minors, students, and adult students acknowledge that participation in music instruction and Academy activities may involve ordinary risks associated with such activities.

To the extent permitted by applicable law, participants assume the ordinary risks associated with participation in lessons and Academy activities.

Rhythm & Grooves Music Academy is not responsible for lost, stolen, or damaged personal property left on Academy premises.

The Academy is also not responsible for damage to vehicles or for personal property lost, damaged, or stolen from vehicles while on or near Academy property.

9. STUDENT PICKUP
Children must remain inside the Academy while waiting to be picked up by a parent, guardian, or authorized individual.

Please do not instruct children to wait outside, in the parking lot, or at another nearby location.

Parents and guardians are responsible for promptly picking up students following their scheduled lesson or activity. Rhythm & Grooves Music Academy cannot provide supervision beyond a student's scheduled instructional or program time.

‍10. NO SOLICITATION OF INSTRUCTORS OR STAFF

To preserve the integrity of the Academy's educational environment and protect its legitimate business relationships, parents, guardians, and students agree not to solicit or attempt to engage Rhythm & Grooves Music Academy instructors or staff members for private music instruction or substantially similar services outside of the Academy without prior written authorization from Academy administration.

This includes private arrangements for lessons conducted at a residence, online, at another business, or at another location when the relationship with the instructor or staff member originated through Rhythm & Grooves Music Academy.

This restriction applies during the student's enrollment and for three (3) months following withdrawal from the Academy.

Violation of this policy may result in termination of enrollment and other remedies available to the Academy under applicable law.

11. ELECTRONIC ACKNOWLEDGMENT & AGREEMENT

By completing registration and electronically accepting these Policies & Procedures, the parent, legal guardian, or adult student acknowledges that they have read, understand, and agree to abide by the policies of Rhythm & Grooves Music Academy.

Electronic acceptance constitutes the individual's acknowledgment and agreement to these policies, including monthly tuition and payment deadlines; the requirement that lesson tuition be paid electronically; applicable late fees; the requirement that all student lesson cancellations be submitted through the My Music Staff Portal; suspension of services for past-due accounts; cancellations, absences, and make-up credits; the 12-hour cancellation requirement; the four-per-quarter make-up credit limit; make-up credit expiration; the withdrawal deadline and final-month tuition responsibility; the requirement that unused make-up credits be used by the end of the student's final month of enrollment and that any remaining credits then expire and are forfeited; year-round enrollment and scheduled Academy closures; and all other policies stated above.

The individual completing registration represents that they are authorized to enter into this agreement on behalf of themselves and, when applicable, the enrolled minor student.

Continued enrollment is subject to compliance with these Policies & Procedures and timely payment of all tuition and other amounts due.

Rhythm & Grooves Music Academy may periodically update its Policies & Procedures as reasonably necessary for Academy operations. Families will be notified of material changes before those changes take effect. Continued enrollment following the effective date of an updated policy constitutes acceptance of the revised Policies & Procedures, to the extent permitted by applicable law.
