Policies & Procedures
1. TUITION All payments are processed on the first of the month.
Private lessons are $140 per month for weekly 30-minute sessions at our location, and$280 per month for weekly 60-minute sessions. A one-time $25 registration fee is due at the time of registration.
Tuition is never prorated for missed lessons and does not include retail teaching materials such as books or instruments.
2. CANCELLATIONS AND MAKEUPS
For any lessons canceled by a teacher, the Academy will attempt to provide a substitute instructor. If a substitute is unavailable, a makeup lesson credit will be issued.
Students must cancel lessons at least six (6) hours prior to the scheduled start time. If a lesson is canceled before the 6-hourdeadline, the student may choose to make up the lesson either by attending a weekend group class or by receiving a pre-recorded video lesson from their instructor. Cancellations made after the deadline will be marked as absences, and the student will forfeit any makeup opportunity. Makeup classes are age- and level-appropriate and are held between the hours of 10:00 a.m. and 6:00 p.m. In the rare event that the Academy must close due to severe weather, lessons will either occur virtually or the student will receive a pre-recorded lesson video.
3. DISCONTINUING LESSONS
All students are enrolled on a month-to-month basis. To discontinue lessons and stop future billing, a withdrawal form must be submitted before the 15th of the final month of lessons. Tuition is not prorated for the final month, and students will be responsible for that month's full tuition regardless of attendance.
4. AVERAGE OF FOUR LESSONS PER MONTH
Monthly tuition is based on a 48-week year. We are closed for four weeks annually for holidays, with these closures spread throughout the year. During longer months, you may receive five lessons; in shorter months (such as November and December), you may receive three. Most months will include four lessons. Tuition remains the same each month—there is no additional charge for five-lesson months, nor is there a discount for three-lesson months. This structure simplifies billing and scheduling for all families.
5. SUMMER VACATION
Rhythm & Grooves Music Academy operates year-round and does not close for the summer.
If you plan to take a month off for vacation but intend to resume in-person lessons the following month, payment is still due on the first of the month to reserve your lesson time.
For your convenience, we offer live virtual lessons or pre-recorded video lessons from your instructor. You may also choose to make up missed lessons upon your return by attending weekend group lessons.
If you do not wish to continue lessons during the summer, you must submit a withdrawal form by the 15th of your final month of lessons (please refer to the Discontinuing Lessons section). Please note that you will need to complete the registration process again upon your return, and your previous lesson day and time cannot be guaranteed.
6. CARE OF STUDENTS
The Academy is not responsible for providing before- or after-care for students. Parents of children under the age of eight must remain in the lobby during their child’s lesson. Students should not be left at the Academy for extended periods before or after their scheduled lessons.
7. OPEN DOOR POLICY
Parents are always welcome to sit in on lessons. The Academy maintains an open-door policy for all instruction.
8. INJURIES
Parents, legal guardians of minors, students, and adult students waive the right to any legal action for injuries sustained on Academy property resulting from normal lesson activity or any other activity conducted by the student or their siblings before, during, or after lesson time, including hearing loss or hearing damage.
Rhythm & Grooves Music Academy is not responsible for damage to vehicles or for items stolen from vehicles.
9. PICKING UP
Children must wait inside the Academy for their parents to pick them up. Please do not instruct them to meet you outside or at another location. Rhythm & Grooves Music Academy assumes no responsibility for children who leave the premises unaccompanied.
10. NO SOLICITATION POLICY
To preserve the integrity of the educational environment and to avoid conflicts of interest, all parents, guardians, and students agree not to solicit, hire, or attempt to hire any Rhythm & Grooves Music Academy instructor or staff member for private instruction or related services outside of the Academy.
This policy applies to all interactions on Academy premises as well as any communications made in connection with Academy activities. Soliciting instructors or staff for lessons conducted independently—whether at home, online, or at another location—without the express written consent of Academy administration is strictly prohibited.
This restriction remains in effect during the period of a student’s enrollment and continues for a period of three (3) months following the student’s withdrawal from the Academy.
Any violation of this policy may result in immediate termination of the student’s enrollment and forfeiture of any remaining lessons or tuition. The Academy also reserves the right to take further legal action if necessary to protect its business interests.
Image & Video/Audio Recording Waiver
At the Academy, we host an annual Picture Day that is very popular with our parents. A professional photographer visits the school to take pictures of the students, which parents can then order. We also occasionally photograph and videotape recitals.
Each month, we feature Students of the Month in our newsletter and may also share student performances on YouTube and our website.
